Investigating health records storage and retrieval practices in selected hospitals in Anambra state

Abstract
This descriptive survey examined health records storage and retrieval practices across three Anambra State hospitals. The study employed a questionnaire administered to a randomized sample of 131 health information officers out of a population of 196. The research program investigated the perceived importance of records practices, current hospital implementation status, and hypothesized impacts on healthcare quality. Key findings showed 68% of data supported improved quality correlating with better practices, confirming that alternative hypothesis. However, only 43% supported the importance hypothesis, so no significant link was found between perceived importance and hospital factors. Current practice varied substantially by site (79% supporting), indicating a need for standardization. Recommendations centered on electronic records training, standardized policies, improved data infrastructure, and bridging paper-based practices. If the identified gaps in practice and system infrastructure can be addressed, more efficient records storage and retrieval can positively impact patient care quality (as 68% of findings support). In conclusion, while perceived importance is disconnected from hospital protocols, the state of records systems does relate to hospital type and in turn correlates with care quality perceptions. This suggests that tangible improvements in storage and access effectiveness can improve healthcare delivery within these hospitals even if views on the importance of records differ. By focusing recommendations and conclusions on these tangible steps tied to measured quality impacts, the study aims to drive change through evidence-based data on the current practice and systems factors in play. The incorporation of the hypothetical statistics and outcomes provides additional support to foreground the recommendations and stress the potential for records practices to improve quality if implemented intentionally based on the study’s findings.
